How to Design an Online Admission Form for Your Institute (Step-by-Step)

An online admission form is the first real interaction a student has with your institute. A form that is clear, fast and mobile-friendly converts more applicants; a confusing one silently loses them.

This guide walks through designing an admission form on ePravesh, step by step, using the built-in form builder. No coding, no IT dependency.

Step 1: Create the course and open the form builder

Every course in ePravesh has its own application form. Sign in to the admin panel and go to Courses → open your course → Advanced → Form Builder.

This per-course design matters: an MBA application and a Class 11 admission need very different questions, and you never have to compromise with one generic form.

Step 2: Structure the form into sections

A form is built from sections — the tabs a candidate moves through one at a time, such as Personal Details, Academic Details and Uploads.

Keep it to 3–5 sections. Candidates see a clean tab at a time instead of one endless page, and completion rates improve, especially on mobile.

Sections can be renamed and reordered at any time from Manage Sections, and the new order flows automatically to the live form, the preview and the application PDF.

Step 3: Add fields from 15 ready-made controls

Click + Add Field, choose a field type, and fill in the label. The builder ships with 15 controls covering everything an admission form needs:

Need Control
Names, IDs, remarks Text (with type and length rules)
Contact details Email, Number
Dates Date of Birth, Date
Single choice Dropdown, Radio
Multiple choice Checkbox, Checkbox Group
Ranked choices (course/college preference) Preference Group
Repeating rows (qualifications, siblings) Repeating Group
Documents File Upload
Identity Candidate Photograph, Candidate Signature
Headings and notes Label

Every field has shared settings: required or optional, instruction text shown under the field, and a visibility toggle that lets you hide a field without deleting it.

Step 4: Add validation so clean data comes in

Bad data at the form stage becomes manual correction work later. The builder pushes validation to the candidate's browser:

  • Text type and length — restrict a PAN number to exactly 10 alphanumeric characters, or cap an address line.
  • Pre-approved value lists — import approved values from Excel or CSV, and the form verifies the typed value instantly with a green "Verified" mark. Use unique per applicant mode for one-time codes like Employee IDs.
  • Email and number formats are checked automatically.

Step 5: Put fields exactly where you want them

The Position picker lets you insert a new field immediately after any existing one — no repeated clicking of up-arrows. When editing, fields keep their position unless you deliberately move them.

Step 6: Preview, publish and take applications

Use the preview to walk the form as a candidate, then publish the course. The candidate flow is deliberately friction-free:

  1. Candidate clicks Apply Now and fills the form section by section — no account creation required up front.
  2. Documents, photo and signature upload inside the form.
  3. The application fee is paid online through UPI, cards or net banking (payments are reconciled automatically; free courses skip this step).
  4. The candidate instantly gets an application number, a printable application PDF and a payment receipt.

Applications land in your applicant management dashboard in real time.

Step 7: Rely on the built-in safety rails

Two protections work silently in the background:

  • Once a course has paid applications, field deletion and section reordering are locked — the form can't change under candidates who already paid.
  • Field keys stay stable after creation, so your exports and reports never break mid-cycle.

Design best practices that lift completion rates

  • Ask only what you need at application stage; collect the rest after shortlisting.
  • Use instruction text on any field that could be misread — it removes support calls.
  • Group uploads into their own final section so slow connections don't block the rest of the form.
  • Test the form on a phone: most applicants in India will fill it on one.

Frequently Asked Questions

How long does it take to build an online admission form on ePravesh?

A typical admission form with 3–4 sections and 25–40 fields can be built in under an hour using the drag-free form builder — no coding or IT team required. Every course gets its own form, so you can clone the structure across programs quickly.

Can candidates upload documents like marksheets and photos in the form?

Yes. The form builder includes dedicated File Upload, Candidate Photograph and Candidate Signature controls. Candidates upload marksheets, certificates and category documents directly in the form, and everything is attached to their application record.

Can I change the admission form after applications have started coming in?

You can keep renaming sections and editing labels, but once a course has received paid applications, field deletion and section reordering are locked automatically. This protects candidates who already paid from having the form change underneath them.

Does the online admission form support application fee payment?

Yes. The application flow ends with online payment through UPI, cards and net banking. Free courses skip payment automatically, and paid applicants get a downloadable payment receipt and application PDF.

Can I restrict a form field to a pre-approved list of values?

Yes. Text fields support an allowed-values lock — import approved values from Excel or CSV, and the form verifies what the candidate types in real time. Values can be unique per applicant (like an Employee ID) or shared by many (like a department code).
